Information You Provide Directly

  • Contact information: Name, email address, phone number, business name, business type, country.
  • Service inquiry information: Service of interest, package preference, and any details you provide about your business and financial needs.
  • Client engagement information (when you become a client): Business registration documents, bank statements, credit card statements, accounting records, tax returns, payroll data, employee information, and any other financial records necessary to perform our services.
  • Payment information: Processed through third-party payment processors (e.g., Stripe). We do not store full payment card numbers on our systems.
  • Communications: Records of email, phone, chat, and video communications with our team.

Information Collected Automatically

  • Usage data: Pages visited, time spent, links clicked, browser type, device type, operating system, referring website.

  • To provide bookkeeping, payroll, tax preparation, financial reporting, and advisory services to you.
  • To respond to inquiries, schedule consultations, and provide quotes.

  • To comply with our legal, tax, and regulatory obligations (including responses to lawful requests from regulators such as the IRS, CRA, FINTRAC, or state/provincial tax authorities).

4. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:

These include accounting software (QuickBooks, Xero), payroll providers, payment processors (Stripe), email and calendar tools (Google, Calendly), form processing (Web3Forms), and secure document storage. Each is bound by confidentiality and data protection obligations.
  • Government and regulatory authorities: When required by law to file tax returns, payroll filings, or respond to lawful information requests.
  • Professional advisors: Our own legal, accounting, and insurance advisors, under appropriate confidentiality protections.
  • Business transactions: If Northspire Finance is involved in a merger, acquisition, financing, or sale of assets, client information may be transferred as part of that transaction, subject to confidentiality protections.
  • With your consent: Any other sharing that you specifically authorize.

5. Data Security

We take the security of your information seriously and use a combination of administrative, technical, and physical safeguards, including:

  • Encryption of data in transit (TLS/SSL) and at rest where supported by our platforms.
  • Multi-factor authentication on internal systems and cloud accounts.
  • Role-based access β€” team members only access information needed to do their jobs.
  • Written confidentiality agreements with every team member.
  • Use of SOC 2-compliant cloud platforms (such as QuickBooks Online, Xero, and Stripe) for client data.
  • PCI compliance through our payment processor β€” we do not store full credit card numbers on our own systems. Payment data is processed and stored by Stripe, a PCI-DSS Level 1 service provider.
  • Regular review of security practices.

No method of transmission or storage is 100% secure. While we take reasonable steps to protect your information, we cannot guarantee absolute security.

6. Data Retention

We retain personal and financial information for as long as necessary to provide our services and to comply with our legal, tax, and regulatory obligations. In general:

  • Tax and accounting records are retained for a minimum of seven (7) years in accordance with IRS and CRA requirements.
  • Payroll records are retained per applicable federal and state/provincial requirements.
  • Inquiry records from non-clients are retained for up to three (3) years unless you request earlier deletion.

After the retention period, we securely delete or anonymize records.

7. Your Privacy Rights

Depending on your location, you may have rights including:

  • Access: Request a copy of the personal information we hold about you.
  • Correction: Request correction of inaccurate or incomplete information.
  • Deletion: Request deletion of your information, subject to retention obligations.
  • Opt-out of marketing: Unsubscribe from marketing emails at any time.
  • Data portability: Request an exportable copy of your information.
  • Withdraw consent: Withdraw consent for processing where consent is the legal basis.

For California residents: You have additional rights under the California Consumer Privacy Act (CCPA), including the right to know what categories of personal information we collect and the right to non-discrimination for exercising your rights.

For Canadian residents: Your information is handled in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws.
